Information For Students Applying For Special Consideration (Including Deferral of an Examination) Guidelines

What is Special Consideration?

Statute 5.3 The Schedule Part 1 allows for applications for special consideration to be made on one of the following grounds:

  1. that the student's work at any time during the academic year has to a substantial degree been hampered by illness or other cause;
  2. that the student has been prevented by a serious or disabling illness or other significant cause from preparing or presenting for all or part of a component of assessment; or
  3. that the student was to a substantial degree adversely affected by illness or other cause during the performance of a component of assessment. Refer to sub-section 5(1) of Statute 5.3 The Schedule Part 1.

Students who are unwell or experiencing hardship on the day of an assessment or examination are expected to submit the assessment or attend the examination. If a student is unable to submit an assessment or attend an examination (and could not request a deferment as they had no prior warning of this inability before the date of the assessment) then a student can make application for special consideration. However, if the University believes that the reasons given by the student should not have prevented the student submitting an assessment or attending an examination, the application may be rejected and the student will fail the assessment.

Students who are unwell or experiencing hardship on the day of an assessment or examination and who submit the assessment or attend the examination can request assessors take into consideration their illness or hardship when assessing the assessment by making application for Special Consideration.

Examples That May Be Considered As Reasons For Special Consideration

These include:

  • Medical Reasons: eg recent hospital admission; serious injury; debilitating illness; severe anxiety or depression (Refer to Guidelines To Assist The Health Care Professional for more examples that may lead to severe, moderate or minor disadvantage to students).
  • Loss or Bereavement: eg death of a close family member, or close friend; family or relationship breakdown.
  • Hardship / Trauma: eg. recent victim of crime; sudden loss of income or employment; severe disruption to domestic arrangements.

Privacy / Confidentiality

All care will be taken to protect your confidentiality. This information will be stored in your student file. Only the determination of Special Consideration will be circulated to your teaching staff. Your Head of School/Delegate will make a determination on the information you provide.

How To Apply For Special Consideration

  1. Complete the Application for Special Consideration Form available from the UB Policies, Procedures and Forms website, your School office or your Partner Provider office. The Application should indicate your reasons and for how long your studies have been affected.
  2. You will need to provide sufficient specific detailed information and attach all relevant supporting documentary evidence (eg. Police report, death notice or certificate, Statutory Declaration etc) with your application to enable the application to be assessed.
  3. In the case of a medical condition, you should submit the Health Care Professional Certification Form available from UB Policies, Procedures and Forms website, completed by an appropriately qualified health care professional and attach this to your Application for Special Consideration Form.
  4. Your completed application and supporting documentation should be submitted directly to the School’s Administration Office or the Partner Provider Administration Office of your course.
  5. You must submit this application no later than three days after the due date of the specific piece of assessment or the examination for which you are seeking Special Consideration.
  6. If it is impossible for you to submit the application within the three day time limit, you or your representative must contact the School office within three days or you will risk failing the subject.

What Is Deferment?

An application for deferment of an examination can only be made in exceptional circumstances and a student may not normally apply to have an examination deferred more than once in a particular unit in a given teaching period. Refer to sub-section 8(3) of Statute 5.3 The Schedule Part 1.

Students should make application for a deferral of an examination when they have prior knowledge that they will be unable to attend an examination (eg as a result of a serious and disabling illness).

Tick the box on the form marked Deferred Examination. The Application should indicate the exceptional circumstances why you are applying for a deferment.
  2. You will need to provide sufficient specific detailed information and attach all relevant supporting documentary evidence (eg. Police report, death notice or certificate, Statutory Declaration etc) with your application to enable the application to be assessed.
  3. When To Apply For Special Consideration And When To Apply For A Deferment

Special Consideration should be sought when:

  1. you attend an examination or submit an assessment, but you believe your performance has been hampered by illness or other cause;
  2. you were prevented from attending an examination or submitting an assessment as a result of a severe illness or other cause and were unaware that you could not attend or submit prior to the relevant date.

Deferral of an examination should be sought when you are aware you will be unable to attend an examination at least three days prior to the date of the examination (as a result of severe illness or other cause).
